Scope of this policy

This policy describes information handled through the public website at lilianpfeiffer.com and its general inquiry form. It does not describe the handling of clinical records or replace any separate privacy notice that may apply to professional services. If you are seeking or receiving clinical services, ask the practice for the privacy notices that apply before sending clinical information.

Information the website receives

If you use the contact form, the information submitted may include your email address and message, as well as your name, phone number, and the service you select. Name, phone number, and service selection are optional in the form; email and a message are required. The message is free text, so please keep it to a general inquiry.

When the site is loaded or used, hosting and connectivity services may process technical information such as an IP address, browser or device details, and request information to deliver and protect the site. The application also temporarily uses the requester’s IP address in memory to limit contact-form submissions to five within a 15-minute period. This anti-abuse control is not a stored contact record.

How contact inquiries are handled

Contact information is used to review and respond to your inquiry and to protect the form from abuse. A submitted inquiry is routed through the website’s hosting and connector services to the practice’s Gmail mailbox. The website application does not save submitted form fields in an application database, and its application error logs do not include the submitted values. After an email is delivered, it may remain in the mailbox under that account’s settings and retention practices.

The contact form and ordinary email are not a secure patient portal and are not intended for protected health information, diagnoses, treatment details, legal documents, or other sensitive clinical or legal information. Do not use the form for emergencies or urgent care. The website privacy policy does not determine whether any service provider is authorized to handle protected health information or whether a required business associate agreement is in place.

Service providers and external resources

• Replit: Provides the website hosting, application infrastructure, and connector service used to route contact submissions. Its systems may process technical request information and inquiry data as needed to provide those services. See the Replit Privacy Policy.
• Google Gmail: Receives the contact-form email for the practice. Google may process and retain the email under its service terms and privacy practices. See Google’s Privacy Policy.
• Google Fonts: This site requests font files from Google Fonts. A visitor’s browser sends technical information, including its IP address, to Google to retrieve those files. See Google’s Google Fonts privacy information.

The website source does not currently include analytics or advertising-tracking scripts. The application does not intentionally set advertising or analytics cookies. Providers may use technical identifiers or other technologies under their own policies.

Disclosure, retention, and requests

Information may also be disclosed when required by law or when reasonably necessary to protect the site, its users, or the practice. The practice does not control the independent privacy, security, or retention practices of third-party providers.

The website does not keep a database of contact submissions. Delivered inquiries may be retained in the practice’s Gmail mailbox, and technical records may be handled by hosting and connectivity providers according to their own retention practices. To ask about access, correction, or deletion of information the practice controls, email lilianpfeifferlcsw@gmail.com. Applicable law may limit what can be provided or deleted.
